POSITION TITLE: Office Manager 

RESPONSIBLE TO: Executive Director

CLASSIFICATION: Full-time: 40 hours per week, $13.40/hr plus benefits (click here for a benefit summary)


POSITION SUMMARY

The Office Manager is responsible for daily operations of Northeast Iowa School of Music as they relate to on-site lessons and classes. The Office Manager also acts as receptionist.

 

HOW TO APPLY

A successful candidate will be well-organized with initiative, attention to detail, written and verbal communication skills, some knowledge of music, and the ability to do light physical activities. Knowledge of computer applications, including MS Office, web browsers, Facebook, email, and the ability to learn job-specific software are required.

DUTIES

On-Site Instruction & Programming
   • Handle public/student/parent questions and issues as they arise in person or on the phone.
   • Schedule and reschedule lessons as necessary. Keep current student and teacher attendance records. Create trimester attendance spreadsheets and student information for faculty.
   • Keep accurate and current records of student information.
   • Send information to and follow up with interested students.
   • Register students and distribute receipts, handbooks, etc.
   • Take and record tuition payments. Communicate with customers when tuition is due. Send invoices for past-due payments.
   • Enforce all policies outlined in the student handbook and communicate these policies to students/parents and faculty. Make annual policy and budget recommendations.
   • Schedule and promote group classes. Manage enrollment, enrollment lists, etc. in Jackrabbit online software.
   • Schedule & track credit lessons. Work with colleges and Business Manger as necessary. Keep instructors informed of special requirements and considerations of credit students.
   • Create trimester student newsletters.
   • Prepare scholarship quarterly reports. Update and publicize scholarship applications annually. Maintain scholarship files.
   • Approve faculty time for payroll, distribute and file records as necessary.
   • Manage West Music account: Place and check in orders as requested by faculty/students or to keep stock items available; resell books and merchandise;
   • Write and send press releases pertaining to on-site programming.
   • Train new faculty on procedures.

Facilities & Equipment
   • Act as point person for facility difficulties, studio schedules, keys, etc. Schedule bi-annual piano tunings. Prepare studio schedule recommendations each school year and summer.
   • Order and stock office and cleaning supplies as needed.
   • Back up documents to shared drive.
   • Maintain all office equipment.

Events and Programs
   • Work in conjunction with Program Director to prepare for recitals, Playathon, and other student fundraisers.
   • Provide program information for grant applications/reports and track hours/expenses relating to grant-funded programs as requested.

General
   • Prepare reports for board meetings as directed.
   • Answer phone and distribute messages in a timely manner.
   • Respond to communications submitted through the school’s website and general email account.
   • Communicate with students, faculty, board, donors, and others as needed.
   • Maintain supply of current class offerings, policies, etc. outside the office.
   • Keep information in lobby and on bulletin board current.
   • Keep files of all office procedures and manuals.
   • Perform other duties as requested by Executive Director.

The Office Manager is also expected to maintain a work log/time record; work in cooperation with Executive Director, Board of Directors, and staff; maintain all work in an orderly fashion and comply with school personnel policies and procedures.
